Through philanthropic initiatives, special events, and an active membership program, AFL strengthens connections between American supporters and one of the world’s leading cultural institutions.
Since its founding, AFL has raised more than $70 million in support of the Louvre, contributing to significant acquisitions, conservation projects, and cultural initiatives.
Position Overview: Administrative Assistant
Location: New York, NY (Part-Time, In-Office)
Compensation: $25-$32 per hour
American Friends of the Louvre seeks a highly organized and dependable Administrative Assistant to support the Office of the Executive Director and assist with the daily operations of the New York office.
Working closely with the Executive Director and a small, collaborative team, the Administrative Assistant plays a key role in maintaining administrative operations, supporting donor and member engagement, and assisting with the coordination of programs and events throughout the year.
This position is well suited to a proactive and detail-oriented individual who enjoys working in a dynamic nonprofit environment and who has a strong interest in the arts, museums, and cultural philanthropy.
Schedule
Tuesday: 9:30 AM – 5:30 PM (in person)
Wednesday: 9:30 AM – 5:30 PM (in person)
Thursday: Half Day (in person)
Key Responsibilities
Administrative and Operational Support
- Manage scheduling and calendar coordination for the Executive Director, including meetings across multiple time zones and monitoring key deadlines.
- Maintain and update AFL’s database of members, donors, and professional contacts, including creating records, updating information, and processing donations.
- Assist with financial administration, including expense tracking, reporting, coordinating wire transfers, and managing grant payments.
- Support annual state charity registration renewals and compliance filings.
- Oversee general office operations, including ordering supplies and coordinating technology or facility needs.
- Respond to telephone inquiries and provide assistance to callers as needed.
- Assist with drafting donor correspondence and administrative communications.
- Provide general administrative support to the Executive Director and team as required.
Programs and Events
- Coordinate member communications and registration for art fairs throughout the year, including arranging VIP access with institutional partners.
- Provide logistical support for AFL’s annual gala and additional fundraising initiatives.
- Assist with the planning and coordination of donor cultivation events and membership programs, including domestic and international member trips.
- Assist with onsite event operations, including guest check-in and event coordination.
Qualifications
- Minimum of two years of professional experience, ideally within a nonprofit, fundraising, museum, gallery, or events environment.
- Prior experience providing administrative support to senior leadership preferred.
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong interpersonal and written communication skills.
- Demonstrated professionalism, discretion, and ability to handle confidential information.
Technical Skills and Additional Requirements
- Proficiency with Microsoft Office and Google Workspace
- Strong computer skills; CRM or database experience preferred
- Accuracy and consistency in data management and record keeping
- Interest in arts, museums, and cultural philanthropy
- Familiarity with French culture and basic comprehension of French preferred
- Ability to travel domestically and internationally as needed
- Must be legally authorized to work in the United States
